02
What we collect
We collect only what you choose to send us, plus the minimum technical data needed to keep the site secure.
- Application, invitation and nomination form: your name, work email, role, city, the reason you are writing and your message; if you choose to give them, your company and the name, role and details of a peer you nominate.
- Conference and Learning form: your name, email, organisation or college, role or course, the programmes and edition you are interested in, and your message.
- Server and security logs: IP address, browser user agent, pages requested and timestamps, recorded by our hosting and content-delivery providers to operate and protect the site.
We do not ask for, and ask you not to send, sensitive personal data or confidential details of your employer’s systems.
03
Cookies and analytics
This site does not use advertising cookies, tracking pixels, session recording or third-party analytics. It sets no cookies for visitors other than strictly necessary ones: our content-delivery network may set short-lived security cookies to filter malicious traffic, and WordPress sets login cookies only for administrators who sign in to edit the site.
Links to LinkedIn and X take you to those services, which apply their own privacy policies.
04
How we use it
- To reply to you and to assess Guild applications, Circle invitation requests and nominations.
- To run the club for admitted members: sessions, introductions, the peer bench and, only with your consent, the member directory.
- To register interest in conferences and Learning tracks and to tell you when dates are confirmed.
- To keep the site secure and working.
We never add form submissions to a marketing list, never sell or rent them, and never pass them to the commercial teams of MinervaDB or ChistaDATA. Rule 1 of the charter forbids any services approach that uses anything learned through the club.
05
Legal basis and retention
We process form submissions with your consent and to take the steps you ask for (GDPR Article 6(1)(a) and (b); consent under section 6 of India’s Digital Personal Data Protection Act, 2023). Security logs are processed for our legitimate interest in protecting the site (GDPR Article 6(1)(f)) and for the legitimate uses permitted under the DPDP Act.
Applications, requests and nominations that do not lead to membership are deleted once the request is resolved. Members’ details are kept while they are members and deleted when they leave. Server logs are kept by our providers for their standard periods and then discarded. You can withdraw consent at any time; withdrawal does not affect processing already carried out.
06
Who receives it
Personal data is seen only by the fsyncDATA secretariat at MinervaDB Inc. and by the service providers that run the site on our behalf under contract: our WordPress hosting provider, our content-delivery and security network, and our email provider, which delivers form notifications. Admitted members see each other’s directory entries only if they opt in.
We disclose personal data to others only if the law requires it. We do not sell or share personal information as those terms are defined in the California Consumer Privacy Act.
07
Your rights
You may ask what we hold about you, have it corrected or completed, have it deleted, withdraw consent, or nominate someone to exercise your rights if you cannot. Write to the contact address above. We may ask you to confirm your identity before acting.
Residents of India have these rights under the Digital Personal Data Protection Act, 2023, and may escalate unresolved grievances to the Data Protection Board of India. Residents of the European Economic Area and the United Kingdom also have rights to restriction, objection and portability under the GDPR and UK GDPR, and may complain to their supervisory authority. Residents of California have rights under the CCPA/CPRA, and we will not discriminate against anyone who exercises them.
08
Transfers and security
The site is hosted on cloud infrastructure that may be located outside India, and MinervaDB Inc. is based in the United States. Where personal data crosses borders, it is protected by our providers’ contractual data-protection terms, and it is never transferred to a country restricted under the DPDP Act.
The site is served over HTTPS only, administrative access is limited to the secretariat, and form entries are stored in the site database with access restricted to administrators.
09
Children
This site and the club are for working professionals and college students aged 18 or over. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us their details, contact us and we will delete them.

Changes to this policy
If we change how we handle personal data, we will update this page and the date below before the change takes effect. Last updated: 20 October 2026.
